What we store, what we don't, and what you should never paste.

Acadence is built for schools. Pupils' data is sensitive, and we treat that seriously. This page is plain English — the legal version is the same in spirit.

What we store

On your account we keep:

  • Profile — name, email, and role, mirrored from your sign-in provider (Clerk).
  • Appearance — your light/dark mode choice and palette.
  • Email enhancer defaults — tone, length, audience, and whether to include a signature.
  • Pinned tools — the tool IDs you've pinned to the top of your home grid.

That's it. We don't keep the text you paste into a tool, and we don't keep the output it generates. Once the response comes back, it lives only in your browser until you copy it out or navigate away.

How tools use the LLM provider

When you use a tool (currently Email enhancer), the text you type is sent through our LLM gateway (OpenRouter) to the model we've configured for that tool, and the response is streamed back to you.

  • We don't log the content of the request or the response on our servers.
  • Different upstream model providers have different retention and training policies. We pick models whose published terms say inputs aren't used to train their models, but this is a moving target — treat anything you send as "shared with a third-party provider" for the purposes of your school's data policy.
  • OpenRouter may retain a short-lived copy of requests for abuse and safety monitoring before discarding them.

What you should not paste

Please do not paste pupil-identifiable information (names, UPNs, dates of birth, SEN specifics, safeguarding details) into any tool. Redact first. The tools are designed to work on redacted notes — the polish they provide doesn't need real names to land.

If you accidentally paste identifiable data, you can clear it from the tool. We don't persist tool inputs on our side — our database never sees the raw text.

What we don't do

  • No advertising. Ever.
  • No selling data to third parties.
  • No training any ML model on your input.
  • No sharing with other schools or Local Authorities without a signed DPA.

Access and deletion

  • Export — your settings and pinned-tool list are available on request.
  • Delete account — from your profile (account menu → Manage account). Deleting your Clerk account cascades to your settings row in our database; we remove any remaining traces within 30 days.

Who runs this

Acadence is operated by a UK entity. When school plans go live, a DPA (Data Processing Agreement) is available on request and is signed as standard.
